Creating and Editing Message Content

Use the Edit Message page to specify recipients and create and edit the message content. You can also preview the HTML and text versions of your message and send a Quick Test before sending the message.

Note: You cannot edit a message that has already been sent.

About editing the HTML version

You can edit the HTML version of the message using the Visual Editor or Code Editor. The Visual Editor lets you edit messages using toolbar buttons similar to those in standard word processors and automatically corrects errors in your code. Alternately, you can use the Code Editor to edit a message in the way similar to code editors such as Adobe © Dreamweaver ®. You can switch between the editors at any time, and changes you make using one will automatically appear in the other.

If you want to use only the Code Editor, you can disable the Visual Editor for a message.

About editing the text version

You can edit the text version of the message using the Text Editor. Note that changes you make to the HTML version do not automatically appear in the text version. This means that if you change the text or HTML version, you must manually update the other version.

Tip: You can paste the changes you made to the HTML version into the text version using the Paste HTML Content button.

About sending a Quick Test

While editing a message, you can send a Quick Test to specific email addresses. In addition, you can send multiple messages using random test data from your list. You might want to do this, for example, to see how your mail merge fields and dynamic content will appear to different recipients. Lyris will not send the test messages to your contacts, it will simply use the contacts' profile data and send the messages to the addresses you specify.

Tip: In addition to a Quick Test, you can test the message by sending it to your proof contacts when testing the message. This option gives a more accurate result then the Quick Test option because it uses your proof contacts' actual data instead of random test data. For more information, see To send a proof message.

To open the Edit Message page

If you are creating a message, the Edit Message page opens when you click Next: Edit Message on the Select Template page.

If you are editing an existing message:

1. On the Navigation bar, click Email Marketing then Messages.

The Messages page opens, displaying a list of all available messages.

Tip: You can filter the list to display only specific messages.

2. Point at the message you want and click Edit.

Note: This action is not available for messages in Sent status.

The message opens on the Edit Message page.

To specify recipient and sender information

1. Select the list or segment to which to send the message:

a. Click in the To field.

The list of your regular and suppression lists opens.

Tip: Learn more about suppression lists.

b. Select the list or segment you want then click Close.

2. In the From field, type the name you want recipients to see when they receive the message.

Tip: You can insert Mail Merge tags into the From field. To do this, click From: and select the field from the drop down list.

3. In the Subject field, type the subject you want the recipients to see when they receive the message.

Tip: You can insert Mail Merge tags into the Subject field. For example, insert the First Name tag to address each recipient personally. To do this, click Subject: and select the field from the drop down list.

Note: The From Email field shows the address to which replies to the message will be sent. This is the reply-to address specified for the list. To ensure that the replies are processed correctly, do not change this address.

Editing the HTML version

If the Visual Editor is enabled for the message, you can edit the HTML version using either the Visual Editor or the Code Editor. You can switch between the editors at any time, and changes you make using one will automatically appear in the other.

Tip: If Visual Editor does not appear on the Edit Message page, you need to enable the Visual Editor. Learn more about the Visual Editor and Code Editor.

To edit the message using the Visual Editor

1. If the Visual Editor is enabled for the message, it opens automatically when you open the Edit Message page. Otherwise, do one of the following:

2. Make your changes, using the toolbar buttons to format your text.

Tip: Point at a button to learn what it does.

3. Click Save.

Your changes are saved.

To edit the message using the Code Editor

1. If the Visual Editor is disabled for the message, the Code Editor opens automatically when you open the Edit Message page. Otherwise, do one of the following:

Your changes are saved.

To edit the text version

1. On the Edit Message page, select the Text Version tab.

The text version of the message opens.

2. Optionally, click Paste HTML Content to add any changes you made in the HTML version.

3. Make your changes then click Save.

Adding images from the Asset Library

If you have images stored in the Asset Library, you can add them to the HTML version of the message using either the Visual Editor or the Code Editor.

To give you more work space when editing messages, the Asset Library is hidden on the Edit Message page. To show the Asset Library, click Expand Assets.

To add an image

1. If the Asset library is not displayed, click Expand Assets.

The Asset Library opens.

2. Drag the image from the Asset Library to the location you want in the message.

Tip: To find an image that uses a specific keyword, type the keyword in the Search field and click Search.

The image is added to the message.

3. Click Save.

Your changes are saved.

Adding and removing links

You can add a link to a URL, a specific location within the message, or to a blank email message.

To add a link to a URL

1. In the Visual Editor, click where you want the link to appear and click Link.

The Insert/Edit Link dialog opens with the Link Info tab selected.

2. Optionally, select a different protocol from the Protocol drop down list.

3. In the URL field, type the URL to which you want to link.

4. Click OK.

The Insert/Edit Link dialog closes and the link is created.

To add a link to a specific location in the message

To link to a specific location in the message, you need to mark the location with an anchor, then link to that anchor.

1. In the Visual Editor, click next to the location you want to use as the anchor then click Anchor.

The Anchor Properties dialog opens.

2. In the Anchor Name field, type the name for the anchor.

3. Click OK.

The Anchor Properties dialog closes and the anchor is created. The anchor iconAnchor appears in the appropriate location in the message.

4. Click where you want the link to appear then click Link.

The Insert/Edit Link dialog opens with the Link Info tab selected.

5. In the Link Type drop down list, select Link to anchor in the text.

6. In the Select an Anchor by Anchor Name drop down list, select the anchor you created in step 2.

7. Click OK.

The Insert/Edit Link dialog closes and the link is created.

To add an email link

1. In the Visual Editor, click where you want the link to appear and click Link.

The Insert/Edit Link dialog opens with the Link Info tab selected.

2. In the Link Type drop down list, select E-Mail.

3. In the E-Mail Address field, type the address to which to send the email.

4. Optionally, type a subject and message text in the Message Subject and Message Body fields.

5. Click OK.

The Insert/Edit Link dialog closes and the link is created.

To remove a link

1. In the Visual Editor, select the link you want to remove.

2. Click Remove Link.

The link is removed.

Adding enhancers

An enhancer is a commonly used form, such as a survey or unsubscribe request, that you can add to a message. Lyris provides several enhancers that you can add to your messages. You can also create your own enhancers. For more information about enhancers, see About Email Enhancers.

About Twitter Share, Facebook Share, LinkedIn Share, and Facebook Like enhancers

After you send a message that includes a Twitter Share, Facebook Share, LinkedIn Share, and Facebook Like enhancers, you can create a segment to see which recipients clicked the enhancer.

To add an enhancer

1. Click where you want the enhancer to appear.

2. In Enhancers drop down list, select the enhancer you want to add.

3. Click Save.

The enhancer is added to the message.

Adding mail merge tags

You can use mail merge tags to personalize messages. For example, insert the First Name tag into the subject line to address each recipient by name.

You can add mail merge tags into the To and Subject fields and the body of the message.

To add a mail merge tag to a field

1. In the To or Subject field, click where you want the tag to appear.

2. Click To: or Subject:.

The list of available tags appears.

3. Click the tag you want to add.

The tag is added to the field at the location you selected.

To add a mail merge tag to the message body

1. In the Visual Editor or Code Editor, click where you want the tag to appear.

2. In the Mail Merge drop down list, select the tag you want to add.

The tag is added at the location you selected.

To change the HTML encoding or character set

1. In the Visual Editor or Code Editor, click Settings.

The HTML Encoding dialog opens.

2. Select the type of encoding you want.

3. In the Character Set drop down list, select the character set you want.

4. Click Close.

Your changes are made.

To send a Quick Test

1. Make sure the To, From, From Email, Subject are filled in and the Text version of the message exists.

2. Click Quick Test.

The Recipient(s) dialog opens.

  1. 3. In the Recipient(s) dialog, type the addresses to which you want to send the test message, separated by commas.

4. Optionally, to send test messages using random data from your list, select the Send checkbox and specify the number of test messages to send.

5. Click Send.

The test messages are sent to the addresses you specify in the Recipient(s) dialog.

To preview a message

  1. Click Preview.

Your message opens on a new page.
